How to use the "Stage" view to manage candidates

Available for the following plans: Standard, Premium, Platinum, Unlimited
Available for the following User Access level: Manager, Admin

Stage View is a list-based interface designed for managing large numbers of candidates. It allows you to focus on one hiring stage at a time and perform actions on many candidates at once.

Stage View vs. Board View

  • Use Stage View if: You have 200+ candidates, prefer a list format, or need to perform bulk actions (like emailing 20 people at once).
  • Use Board View if: You want a visual "pipeline" overview or prefer dragging and dropping candidates between stages.

Getting Started

How to Switch Views
  1. Navigate to Recruitment > Recruitment > Jobs tab.
  2. Select a Job Role.
  3. At the top of the page (near "Add Candidate"), click the Stage View or Board View toggle.

Helpful Hint

The platform remembers your choice. The next time you open a job, it will default to your last used view.

Navigating candidates

Filtering and Searching
  1. By Stage: Click the tabs at the top (e.g., New, Interview, Hired). The number on each tab shows how many candidates are in that stage.
  2. By Name/Email: Use the search bar at the top of the list to find a specific person within the current stage.
  3. Matching Scores: Each row shows a circular percentage badge. This tells you how well the candidate matches the job requirements at a glance.

Viewing Profiles

Click any candidate in the list to open their profile in a right-side panel. The list stays visible on the left, so you can quickly click through different people without leaving the page.

Each candidate in the list displays their candidate matching score, making it easy to identify the best-matched candidates at a glance.

  1. Look for the circular badge on each candidate row showing their match percentage (e.g., 100, 71, 35). 
  2. Click on the candidate to open their full profile and see detailed breakdowns for Experience, Skills, and Qualifications.

Taking action on candidates

Use the Action Toolbar to manage candidates

When you click on a candidate, the Action Toolbar is located at the top of the candidate profile panel and provides quick access to essential actions. stage actions bar.png

When a profile is open, use the icons at the top to:

  • Add Notes or view the Activity Log.

  • Email or Direct Message the candidate.

  • Schedule Events (integrates with Google Meet or Microsoft Teams).

  • Complete Evaluations.

Pro Tip:

Clicking these opens a side pane, allowing you to type notes or emails while still looking at the candidate's resume.

Moving or Disqualifying Candidates
  1. Open the candidate's profile.

  2. Click the Move to dropdown at the top.

  3. Select a new stage or choose Disqualified to remove them from the process.
Use bulk actions on multiple candidates

Bulk actions allow you to perform the same action on multiple candidates simultaneously.

  1. Check the boxes next to candidate names (or "Select All").

  2. Click the Bulk Actions button.

  3. Choose an action (e.g., move stages, send an email, or delete).bulk actions.png

Important

Bulk actions are particularly useful when you need to move multiple candidates or send mass emails.

Understanding Stage View features

What information is shown in the candidate list?

Each row in the Stage View displays:

  • Selection checkbox: Used to select multiple candidates for bulk actions.
  • Candidate name
  • Match score: A badge showing the candidate's match percentage.
  • Application source: Where the candidate applied from.
  • Time stamp: Shows when they applied or when their profile was last updated.
  • Tags: Any status indicators or custom labels.
What are the stage tabs?

Stage View organizes your hiring process into tabs at the top of the page. Common stages include:

  • New: Recent applicants.
  • In Review: Candidates currently being screened.
  • Phone Screen: Candidates at the initial call stage.
  • Assessment: Candidates completing tests or AI interviews.
  • Interview: Candidates in the formal interview stage.
  • Background Check: Candidates in the verification process.
  • Hired: Successfully placed candidates.

Each tab shows the total number of candidates currently in that stage.

How does Stage View handle permissions?

Stage View follows the same hiring permissions set for your organization:

  • Access Control: Collaborators and Hiring Managers only see candidates and stages they have permission to access.
  • Blind Hiring: If enabled for the "New" stage, candidate names remain hidden until they are moved to a different stage.

Important

Security, privacy, and blind hiring settings are consistent across both Stage View and Board View.

Is Stage View better for large candidate pools?

Yes. Stage View is optimized for jobs with more than 200 applicants.

  • The list format lets you scroll quickly through hundreds of profiles without lag.
  • Tabs help you focus on one group at a time, reducing clutter.
  • Bulk actions make it easier to process many candidates at once.

Helpful Hint

We recommend Stage View for high-volume roles. You can always switch back to Board View for smaller candidate pools if you prefer a visual pipeline overview.
