By unifying these features within your Employment Operating System, you can reduce manual errors and streamline the data flow from a shift worked to the final pay run.

Time Off: Centralized Leave Management

Getting started with Time Off

The Time Off feature provides a single source of truth for tracking and managing leave requests. This ensures that employees across different provinces receive their correct statutory entitlements while managers maintain visibility over team availability.

  • Mobile and Desktop Requests: Employees can submit leave requests via the web platform or the EH work app.

  • Efficient Approvals: Managers can review, approve, or decline requests instantly via desktop or mobile.

  • Centralized Time Off Calendar: Provides a company-wide view of who is away to enable better workload distribution.

  • Customizable Policies: Admins can tailor leave categories to match specific company policies or provincial requirements.

Scheduling: Optimized Staff Management

The Scheduling function allows you to plan, create, and adjust shift schedules with maximum visibility of your workforce. This ensures your Canadian business is properly staffed for optimal productivity and cost efficiency across all provincial locations.

  • Smart Assignments and Requirements: You can build schedules and assign shifts to staff in minutes. Assign shifts based on specific criteria such as employee Roles, Worksites, or Certifications to ensure compliance with specialized tasks.

  • Availability and Leave Tracking: The platform provides a real-time view of staff unavailability and approved leave requests. It will automatically alert you if an employee has been scheduled incorrectly based on their confirmed availability.

  • Shift Flexibility (Bidding and Swapping): To improve staffing flexibility, you can enable Shift Bidding, allowing qualified employees to claim open shifts. The platform also supports Shift Swapping, giving employees the power to manage their own schedules within your defined rules.

  • Schedule Templates: Save time by creating Schedule Templates for recurring shift patterns, which can be duplicated and applied to future weeks instantly.

  • Employee Engagement via EH Work: Once a schedule is published, employees receive instant alerts and reminders via the EH Work app. From their mobile device, they can accept, decline, or swap their assigned shifts on the go.

Timesheets and Attendance: Accurate Tracking

The Timesheets function provides a seamless link between employee attendance and the integrated payroll module. In Canada, this ensures that approved hours flow automatically into your pay runs for accurate processing.

  • Mobile Clock-in/Out: Employees can clock in, log their breaks, and clock out directly using the EH Work app.

  • Enhanced Verification Tools: To ensure data accuracy and physical presence, admins can enable Photo Verification and Geo-location Tracking for every clock-in and clock-out event.

  • Automated Timesheet Creation: The platform records these real-time clock-in events and automatically generates a timesheet for the employee, reducing the need for manual data entry.

  • Integrated Payroll Synchronization: Once a manager approves a timesheet, the data flows directly into the Pay module. This unified approach eliminates the manual uploading of hours and ensures statutory deductions are calculated correctly based on actual time worked.

  • Automatic Timesheet Approval: Optionally, admins can enable Automatic Approval for timesheets that perfectly match the published schedule’s work type, location, and shift times.

  • Comparison Reporting: Use the Schedule vs. Timesheet report to identify inconsistencies between planned hours and actual time worked, allowing you to manage attendance exceptions effectively.
