Link Google Workspace software to Employment Hero

Available for the following User Access level: Admin    

Manage your Employment Hero HR Platform accounts directly from the Google Workspace Admin Centre using our software provisioning integration. This feature streamlines and automates the account creation process for your entire team.

To get started, you will need Google Workspace Admin access.

Getting started

Connect Google Workspace to Employment Hero
  1. In Employment Hero, click on Settings  .
  2. In the Security and Access Control section, click Add-ons.
  3. Scroll down to the Google Workspace section and click the Continue with Google button.
  4. Log in using your Google Workspace credentials.
  5. Click the Accept button.
Create an account for an employee
  1. In Employment Hero, click on People, choose Employee List and select the employee that you would like to view.
  2. In the Employee Records section, click on the View More tab and select the Account Provisioning option.
  3. Click the Connect Apps link in the upper-right corner.
  4. Click the Create Account button.
  5. Complete the following fields:
    • Assign username.
    • Send immediatly.
    • Date.
    • Time.
    • Update employees company email to email above.
  6. Click the Create button. You will receive confirmation that the account has been created, and that an email has been sent to the employee.
  7. You can also see your list of employees via your Google Workspace Admin Centre.

Daily activities

Link to an existing account
  1. Click on People, then click the Employee List sub-menu.
  2. In the Employee Records section, select the Account Provisioning option.
  3. Click the Three Dots button.
  4. Click the Link Existing Account button.
Unlink an account
  1. Click on People, then click the Employee List sub-menu.
  2. In the Employee Records section, select the Account Provisioning option.
  3. Click the Three Dots button.
  4. Click the Unlink Existing Account button
Resend a Notification
  1. Click on People, then click the Employee List sub-menu.
  2. In the Employee Records section, select the Account Provisioning option.
  3. Click the Three Dots button.
  4. Click the Resend button

Remove data

Suspend access for employees connected via Google Workspace
  1. Click on People, then click the Employee List sub-menu.
  2. In the Employee Records section, select the Account Provisioning option.
  3. Click the Three Dots button.
  4. Click the Deactivate Account button
  5. The employee's status in your Google Workspace Admin Centre will also state that their sign-in is blocked.
Disconnect your Google Workspace account

Helpful Hint

The account of any employee added through the software provisioning tab will not be deactivated when you disconnect your Google Workspace account. You will need to remove that account manually.

  1. Click the  Settings menu.
  2. Click General Settings submenu.
  3. Click the Add-ons button.
  4. Click the Actions button
  5. Click the Disconnect button.
  6. Confirm the disconnection of Google Workspace.

What are the three statuses that can apply to an account?

Three statuses can apply to an account:

  • No access: Employee has no known access to the connected application.
  • Active: Employee currently has an active account with the connected application.
  • Deactivated: Employee has an account with the connected application, but it is currently deactivated/inactive/suspended.
