Add, edit, clone and print documents using the advanced template editor

Available for the following plans: Employment Plus, Employment Unlimited
Available for the following HR plans: Premium, Platinum
Available for the following Payroll plans: Essentials, Standard, Premium
Available for the following user access levels: Admin  

The Document Management module is where you manage your organization's HR documents, Employment Contracts, and Polices, providing you with one centralized library containing all of your organization's content. Having a centralized hub where you can coordinate your organization's content will reduce the administration time you spend on documentation management.

The Advanced Editor feature allows you to add a template, edit the content if the information contained within changes, and print out a hard copy. You can also use this feature to archive and/or delete a template if you created it in error.

Helpful Hint

This article shows you how to use the advanced template editor. 

The basic template editor is a simpler drag-and-drop tool for quickly uploading ready-to-issue PDF documents with more limited editing options. For details on the differences between the two template editors, visit this article.

Getting started

The premise below will walk you through how to add a document.

Add a document
  1. Click the Compliance menu.
  2. Click the Template Library submenu.
  3. Click the Add Templates button.
     
  4. Complete the following fields:
    • Template name.
    • Signature logic:
      • No signature.
      • Sender only.
      • Sender then recipient.
    • Template type.
    • Template editor:
      • Basic.
      • Advanced.
    • Countries.
  5. Click the Save button.
     

Maintain

The below will walk you through how to maintain your documents

Filter templates
  1. Click the Compliance menu.
  2. Click the Template library submenu.
  3. Select from the following filters:
    • Countries.
    • Template type.
    • Templates status:
      • Enabled.
      • Disabled.
      • Any.
    • Editor type:
      • Basic (PDF).
      • Advanced (Builder).
    • Created date range.
    • Updated date range.
  4. Click the Search button.
     
View a template
  1. Click the Compliance menu.
  2. Click Template Library submenu.
  3. Click the Actions button.
  4. Click the View button.

    Helpful Hint

    You will now see the template on your screen. To learn how to use the various template types, click the Employment Hero Help Centre articles below to learn how to do the following on your documents:

Print a template
  1. Click the Compliance menu.
  2. Click the Template Library submenu.
  3. Click the Actions button.
  4. Click the View button.
  5. Click the Printable Version button.
     
Rename a template
  1. Click the   Compliance menu.
  2. Click the Template Library submenu.
  3. Click the Actions button.
  4. Click the Edit Info button.
  5. Rename the relevant fields and click the Save button. 
     
Edit a template
  1. Click the Compliance menu.
  2. Click the Template Library submenu.
  3. Click the Actions button.
  4. Click the Edit Template button.
     
Disable a template
  1. Click the Compliance menu.
  2. Click the Template Library submenu.
  3. Click the Actions button.
  4. Click the Disable button.
     
Enable a template
  1. Click the Compliance menu.
  2. Click the Template Library submenu.
  3. Click the Actions button.
  4. Click the Enable button.
     
Delete a template
  1. Click the Compliance menu.
  2. Click the Template Library submenu.
  3. Click the Actions button.
  4. Click the Delete button.
  5. Click the OK button.

Template types: Employment Contracts

Our in-house HR specialists constantly review the Employment Hero contracts to make sure they are in line with the latest Fair Work interpretations. Choose the correct contract for your employee, change as required, add your logo, and then send it to your employee for an electronic signature. Users can sign these contracts using their mouse, a finger, or an uploaded signature. Each e-signature has an audit trail attached to make sure it is legally binding

Template types: Policies

The HR policies are a library of Fair Work-compliant policies for you to use. Our in-house HR specialists constantly review the Employment Hero HR policies to make sure they are in line with the latest Fair Work interpretations. Employment Hero requires employees to acknowledge that they have read each policy assigned to them, so there is no confusion about who has seen what.

Our in-house HR specialists constantly review the Employment Hero HR documents to help you be more confident that you are compliant. Users can sign these documents using their mouse, a finger, or an uploaded signature.

Template types: Other HR Documents

Each e-signature has an audit trail attached to make sure it is legally binding.
