- First Day of the Work Week:
- This is currently set to Sunday. This setting is crucial as it defines the starting point for calculating weekly overtime hours under provincial regulations.
- Calculate Stat Pay:
- Select Yes/No. This enables or disables the automatic calculation of Statutory Holiday Pay (Stat Pay) based on Canadian provincial and territorial rules.
- Calculate OT Pay:
- Select Yes/No. This enables or disables the automatic calculation of Overtime Pay (OT Pay) for employees whose hours exceed the established daily or weekly thresholds.
Configure Timesheet Entry for Payroll Accuracy
To ensure your system accurately calculates Overtime (OT Pay) and maintains compliance with Canadian labour laws, you must verify that your timesheet configuration requires the recording of specific start and end times, as this method provides the detailed data required for automated calculations.
This focus on action will help guide managers and employees to ensure that every timesheet contributes to accurate, compliant payroll processing.
User Actions for Accurate Timesheets
To ensure full compliance and accurate pay calculations, guide your employees and managers to take the following actions:
-
Use Start and End Times
To track Daily Overtime (mandatory in provinces like BC and Alberta), ensure your timesheets are configured for "Start and End Time Based on Daily Entries." > Note: "Total Hours" entries are often insufficient for calculating daily OT spikes. -
Mandatory Break Recording
Use the "Add break" feature for every shift. Unpaid breaks must be deducted from total shift time to ensure you are only paying for compensable hours and not accidentally triggering OT on a rest period. -
Verify Work Site & Position
In Canada, labor laws follow the location of work. Ensure the Work Site is accurate for every shift. This ensures the system applies the correct provincial tax and holiday rules, even if an employee works across multiple regions.
How This Supports Automated Pay
The detail captured in this timesheet configuration directly supports the settings found under Employment Details:
- Precision: Exact Start/End times tell the system exactly when an hour becomes overtime.
- Eligibility: Accurate records leading up to a holiday confirm if an employee meets the "regular wages" criteria for Stat Pay eligibility.
