Configure Timesheet Entry for Payroll Accuracy
To ensure your system accurately calculates Overtime (OT Pay) and maintains compliance with Canadian labour laws, you must verify that your timesheet configuration requires the recording of specific start and end times, as this method provides the detailed data required for automated calculations. This focus on action will help guide managers and employees to ensure that every timesheet contributes to accurate, compliant payroll processing.
User Actions for Accurate Timesheets
To ensure full compliance and accurate pay calculations, guide your employees and managers to take the following actions:
-
Verify Time Inputs:
- Action: Ensure the timesheet setting is configured for "Start and End Time Based on Daily Entries."
- This precise method tracks the exact hours worked, which is mandatory for the system to correctly apply provincial rules for daily and weekly overtime thresholds.
-
Set Time for Breaks:
- Action: When entering a timesheet, use the "Add break" option to accurately record non-paid time.
- Breaks must be deducted from the total shift time to correctly calculate the compensable hours for both regular and overtime pay.
-
Select Work Site and Position:
- Confirm that the employee selects a specific Work Site and Position for every timesheet.
- In Canada, different provinces/territories may have different labour laws. Furthermore, an employee’s pay rate and eligibility for certain premiums may vary based on the position or location where the work is performed.
How This Supports Automated Pay
The detail captured in this timesheet configuration directly supports the settings found under Employment Details:
- Calculate OT Pay: Accurate Start/End Times provide the data points needed for the system to know when an hour becomes eligible for overtime pay.
- Calculate Stat Pay: Precise time records help confirm the employee's eligibility based on hours worked leading up to a statutory holiday.
