The Timesheet Importer simplifies payroll by allowing administrators to upload timesheet data directly into Employment Hero (EOS). Whether you use external time-tracking tools (like 7shifts or Ameego) or custom spreadsheets, this tool eliminates manual data entry and bridges the gap between scheduling and payroll.
This article explains how to:
- Prepare your source file data
- Set up employee codes in EOS (3 methods)
- How to Import your timesheet file
- Understand current scope and limitations
Getting started
To successfully import your timesheets, your .csv or .xlsx file must include these 5 mandatory fields for every shift:
- Employee Code (This must match the ID in their Employment Hero profile).
- Date
- Start Time
- End Time
- Unpaid Break Time
Note: Additional fields may be required depending on your specific timesheet configuration.
Don't worry about column names: If your file already has these five pieces of information, you can upload it as-is—even if your columns have different names.
Missing data? If your file is missing any of these five fields, please download the universal template linked below to format your data correctly before importing.
Which template should I use?
- Got a separate start time and end time for each shift? (e.g. Start Time
09:00 AM, End Time05:00 PM) → usetemplate-start-end-time.csv - Got one combined start/end timestamp? (e.g.
2026-07-20 09:00) → usetemplate-combined-timestamp.csv - Just have total hours worked, no clock times? (e.g.
7.5hours) → usetemplate-duration-hours.csv
Before you can import timesheets, every employee's unique ID from your time-tracking tool must match their Employment Hero profile..
If the employee code in your file doesn't match, that employee's records won't upload.
You can set up this unique ID in EOS in one of three ways:
-
In Bulk (For many employees at once):
Go to People > Import Employees. Download the Update Employee Details Template, add the codes, and upload it. -
During Onboarding (For new hires):
Type the code directly into the Employee Code field while you are setting up a new employee. -
One by One (For existing employees):
Go to People > Employee List and click on the employee's name. Inside their Employment Details tab, click the pencil icon to edit and type the identifier into the Employee Code field.
Import Process Steps
- Click on Time > Timesheets > Import Timesheets.
- Drag and drop your spreadsheet file into the designated upload area.
Note: Ameego users have a dedicated entry point here; click the "Proceed to Ameego importer" button. - Then click the Map data button to proceed.
- Confirm and select the date format used in your original file YYYY-MM-DD or DD-MM-YYYY.
- Use the drop-down menus to match your file's columns with the correct EOS fields. The system will automatically suggest matches based on your headers and highlight any required fields you missed.
- Once everything is matched, click Validate data.
The system will automatically check your file for issues like:
- Missing information or mismatched data
- Overlapping or duplicate shifts
- Shifts longer than 24 hours
- Shifts that fall in a closed pay period
If there are any errors, you will see a clear message showing exactly which row has the issue and why. Fix the errors on your file then reupload it to move on.
Tip: You can still do a partial import. Valid timesheets will be uploaded, and rows with errors will be skipped so you can fix and re-upload them later.
Choosing a Timesheet Status
Before completing the import, use the buttons to choose how these timesheets should be handled:
- Pending: Sends the shifts to managers for approval.
- Approved: Skips approval and sends the clean records straight to payroll.
Click Complete import to finalize and securely write the valid timesheet records to the database.
We don't currently support timesheets with repeated headers or multi-row shifts, but we're working on adding this feature in an upcoming update.
Maintain
Once your file import is complete, you can review, filter, and manage your newly added timesheets:
- Navigate to the main menu and select Time.
- Click on Timesheets Management.
- Adjust the date range filters to match the timeframe of your imported data to verify your entries.
