The Live Schedule View permission provides employees with immediate access to real-time attendance data on the mobile app.
This feature is only available for organizations using Work Sites and position scheduling. It provides rapid situational awareness, enabling teams to view key employee statuses quickly. These statuses indicate who is currently clocked in, out, on break, or on leave.
This level of visibility streamlines operational oversight, reduces the need for manual checks, and supports a more efficient response to incidents, particularly in multi-site environments.
Helpful Hint
Live Schedule View only displays key employee statuses for shifts that have been published. Unpublished shifts will not appear.
Manage Live Schedule View mobile access
When the Live Schedule View permission is granted on the Employment Hero platform, it is split into two components that control what data is visible to the employee:
- Who's In: The core permission, which allows users to see basic real-time statuses (Clocked-in, Clocked-out, On Break, and On Time off/On leave).
- Late & No Show Details: An optional addition, which allows users to see more detailed attendance information. This includes late and no-show statuses and exact clock-in/clock-out timestamps.
To let your employees see the Live Schedule View, you need to activate it in your Custom Security Settings. For information on managing security groups, visit this article.
What changes for your team? Once you turn on the permission, any employees who already manage schedules will instantly see live statuses right inside the Management tab on their mobile app.
How to activate the permission for Live Schedule View:
- Log in to the Employment Hero platform.
- On the left-hand side menu, click Settings.
- In the Security & Access Control section, select Permissions.
- Click Add Permission.
- Click Skip and configure on my own.
- Enter the name of the group.
- Enter a description for the group.
- Under the Employee Access subheading, select from any of the following Employee Access Groups:
- All Employees
- Reporting Employees
- Groups
- Work Sites
- If Groups or Worksites is chosen, select the required group or worksite from the drop-down menu.
- Click Next.
- In the Employee Permissions section and next to Live Schedule View, click Use. This provides access to the two components: Who's In and Late & No Show Details.

Ensure the Who's In and Late & No Show Details components' Use checkboxes are ticked.
Important
The Late & No Show Details permission component can not be given in isolation from the Who's In permission component.
- In the Contractor Permissions section, select which modules the contractors will have access to in your chosen location (if applicable).
- Click Next.
- In the General Permissions section, click Next.
- Under 'Who will have these permissions?', select the employee(s) you want to assign to the security group.
- Click Save.
Use Live schedule View in the mobile app
- Open the Employment Hero Work mobile app.
- Tap Work in the bottom navigation bar.
- Tap schedules, then select the Who's In tab.
- Use the date navigation arrows to move between dates, or tap the date to select a specific day.
- View real-time statuses for each published shift. Basic statuses visible include:
- Clocked in
- Clocked out
- On break
- On time off / On leave
- To filter by status or work site, tap the filter icon in the top right corner and select the relevant options.
Helpful Hint
The employees and shifts visible to you are determined by your configured Employee Access scope (All Employees, Reporting Employees, Groups, or Work Site).
- Open the Employment Hero Work mobile app.
- Tap Work in the bottom navigation bar.
- Tap schedules, then select the Who's In tab.

- You will see additional information for each published shift:
- Late status, including exact clock-in and clock-out timestamps
- No show status for employees who have not clocked in at all
- Break duration for employees currently on break
- To filter by real-time status (such as Late or No Show) or by work site, tap the filter icon in the top right corner and select the relevant options.
Helpful Hint
The Late & No Show Details permission must be enabled alongside the Who's In permission to see timestamps and no-show statuses. It cannot be granted in isolation.
