Payroll - QuickBooks Online integration

As a user of QuickBooks Online, you will already be aware that there is no built-in payroll functionality available. 

The good news is that with our platform you can integrate directly with QuickBooks Online to import your chart of accounts and export your payroll journals.

Connect to QuickBooks
  1. Go to Pay > Payroll > Payroll Integrations.
  2. Click the Add button on the Quickbooks Online tile.  
  3. Click the Connect to Quickbooks Online button. 
  4. You'll be prompted to log in to QuickBooks Online.
  5. Select the QuickBooks Online file you would like to connect and click Authorize.
  6. Once connected, you can now import your chart of accounts.
Set up your Chart of Accounts
  1. Go to Pay > Payroll > Chart of Accounts.
  2. Click Import Accounts. 
  3. A list of your QuickBooks accounts will show. Tick the accounts you want to use for payroll transactions.
  4. Next, map your GL accounts.
  5. Now, when you finalize a pay run, your payroll journal will be ready to export to QuickBooks Online. 
Export a Journal

When you have finalized a pay run, you are ready to export a journal to QuickBooks Online via the integration. 

  1. In Pay > Payroll > Run Payroll, open or create the pay run you wish to finalize.
  2. Review the pay run, then click the Finalize Pay Run button. 
  3. In the Finalize pay run dialog make sure Export journals to QuickBooks is selected. 
  4. Select Export to QuickBooks Online now and click the Finalize button. 
  5. When you return to the pay-run screen, click Finalize pay run, and your journal will be exported.
  6. Alternatively, to export your pay run journal to Excel, go to payroll settings>chart of accounts and select the Export Journal button. This will download an .xlsx file that you can upload to QuickBooks Online. 
Disconnect from QuickBooks
  1. Go to Pay > Payroll > Payroll Integrations.
  2. On the QuickBooks online tile, click the red delete icon.
  3. In the confirmation pop-up, click the Disable button.
