Asset Inventory Category Reporting

Whether your Canadian workforce is remote or based in an office, your organization must track the physical assets assigned to employees. The Inventory by Category Report provides a comprehensive breakdown of your organization's resources, grouping them by type (e.g., IT Hardware, Vehicles, Office Furniture) and showing exactly how many of each are currently in use.

Maintaining an accurate inventory history improves organizational accountability, reduces the risk of loss, and assists in calculating asset depreciation for Canadian tax purposes.

Getting started

Creating an Inventory by Category Report

Use these steps to visualize the distribution of your company's property.

  1. Log in to the Employment Hero platform.
  2. On the left-hand primary sidebar, click the Reports menu icon.
  3. Click the Other Reports tab located at the top of the reporting dashboard.
  4. Click the Asset Reports box.

    Helpful Hint

    This will open the master asset reporting dashboard.

  5. Analyze Current Stock: Locate the Inventory by Category graph. To see a detailed list of assets within a specific category, click on the relevant segment of the chart.
  6. Refine Results: Click the Filter button to narrow down the data by specific dates or Canadian team assignments.
Exporting Inventory Data

For detailed auditing or to provide data to your Canadian accounting team, you can export your inventory list.

  1. Navigate to Reports Other Reports Asset Reports.
  2. Select the desired category from the Inventory by Category graph.
  3. Apply any necessary filters to ensure the data is current.
  4. Click the Actions (downward-facing caret) button at the top right of the table.
  5. Click the Export CSV button.
  6. The report will download to your browser's downloads folder, ready for use in programs like Microsoft Excel.
Understanding Asset States in Canadian Reporting

When reviewing your inventory, assets generally fall into three reporting states:

Asset State Reporting Benefit
Allocated Shows which Canadian employees currently hold company property for their role.
Available Identifies items in your inventory that are ready to be assigned to new Canadian hires.
Disposed Tracked separately to record loss, damage, or sale of old hardware.
