Employment Hero has introduced the ability to create and manage offer letters directly within the platform. This feature allows you to streamline your hiring process by creating, sending, and rescinding a letter of offer with ease.
This article explains how to manage offers:
- Create a Letter of Offer
- Revise and resend a Letter of Offer
- Rescind a Letter of Offer
- Send a Letter of Offer from the applicant tracking system (ATS)
Important Note on Canadian Compliance
The platform provides the tools and templates, but Canadian employment standards are governed at the provincial level. You are responsible for ensuring that the content of your Offer Letter (including details on vacation, termination clauses, and minimum wage) is compliant with the specific employment laws in the province where the candidate will be working (e.g., Ontario, British Columbia, Quebec).
Create a Letter of Offer
- Log into Employment Hero.
- On the left-hand side menu. Click on People.
- Click on Offers.
- Click on the + Create Offer button.
- Under Add Candidate Details, add the following:
- First name
- Last name
- Email address
- Phone number
- Click Save as a Draft or Continue.
- Under Add Offer Details, add the following:
- Job title
- Industry standard job title
- Start date (optional)
- End date (optional)
- Offer expiry date (optional)
- Location (optional)
- Salary
- Currency
- Type
- Probation period (months) (optional)
- Conditions (optional)
- Stock options (optional)
- Bonus structure (optional)
- Additional info (optional)
- Click Save as a Draft or Continue.
- Under the Select Offer Template subheading, click on Actions on the template you want to use.
- Click on Select from the drop-down menu.

Here you will see your letter of offer with the input variables added.
Important
To edit the document
- Click a pink bolded variable to change the value
- Click '-' on a pink box to remove an optional clause
- Purple variables will be automatically populated with existing information
- Once you are happy with your letter of offer, click on Continue or Save as a Draft.
- At the final step, you can preview your letter of offer, download it as a PDF, or send to the candidate by clicking the Send to the Candidate button in the bottom right-hand side of the screen.
- If you send the letter of offer to the candidate, you will see a pop-up to confirm the send. Click on the Send button.
Helpful Hint
Once your letter of offer has been sent, the candidate will receive an email containing the letter of offer.
Revise and Resend a Letter of Offer
If the candidate requests a revision to the letter of offer (e.g., negotiating the salary or start date), a Revise option will appear on your Employment Hero account, allowing you to quickly make changes without starting over.
- Log into Employment Hero.
- On the left-hand side menu. Click on People.
- Click on Offers.
- If a candidate has requested a review, you will see an Action Required tag.
- On the offer you wish to revise, click on View.
- You will see the Letter of Offer versions at the bottom of the page.
- Click on the one you want to read.
- Here you will see the comments the candidate has made.
- If you want to revise your Letter of Offer, click back to the previous screen and click on the Revise button.

Work back through the letter of offer, where you will see your letter of offer with the input variables added. You can make edits to the offer here

Rescind a Letter of Offer
If necessary, you can formally withdraw an offer that has been sent. Consult legal counsel or your HR representative before rescinding an offer, as doing so incorrectly can carry legal risk under Canadian contract and employment law.
- Log into Employment Hero.
- On the left-hand side menu. Click on People.
- Click on Offers.
- If a candidate has asked for a review, you will see an Action Required tag.
- On the offer you wish to rescind, click on View.
- Click on Rescind.
- On the confirmation pop-up, click on Rescind.
Send a Letter of Offer from the Applicant Tracking System (ATS)
This feature integrates directly with the platform's ATS module, allowing you to generate and send the final offer letter as the last step in your candidate workflow.
- Log into Employment Hero.
- Click on Recruitment.
- Click on Recruitment (again).
- Click on the Jobs tab.
- Click on the job for which you want to create a letter of offer.
- Click on the candidate for whom you want to create a letter of offer.
- Click on Offers.
- Click on Create Offer.
- Under Add Candidate Details, add the following:
- First name
- Last name
- Email address
- Phone number
- Click Save as a Draft or Continue.
- Under Add Offer Details, add the following:
- Job title
- Industry standard job title
- Start date (optional)
- End date (optional)
- Offer expiry date (optional)
- Location (optional)
- Salary
- Currency
- Type
- Probation period (months) (optional)
- Conditions (optional)
- Stock options (optional)
