Configuring People Management Settings (People Controls)

If you are looking to bring some consistency to how your organization handles new hires, payroll settings, and employee data, you are in the right place.

This guide covers how to set up People Controls to automate things like employee IDs and standard working hours.

What are People Controls?

Think of this section as the "default settings" for your team. It standardizes how the system generates employee codes, defines a standard workday, and handles payroll math for new joiners.

To get started, head over to Settings, find the People tile, and click on People Controls.

Here is a breakdown of what you can adjust to make your life easier.

Employee Codes

Stop tracking ID numbers in a spreadsheet. You can use these settings to automate how IDs are assigned when you hire someone new.

  • Auto-generate employee codes: Flip this switch, and the system creates a unique code for every new hire automatically.

    Heads up: If you turn this on, the "Employee Code" field becomes mandatory during onboarding.

  • Auto-generate independent contractor codes: Just like above, but for your contractors.

    Heads up: This makes the "Contractor Code" field mandatory when setting up a contractor profile.

Time and Work Defaults

This sets the baseline. When you add a new person, the system will assume they work these hours unless you tell it otherwise on their specific profile.

  • Typical work day: Enter your standard daily hours (e.g., 8 hours).

  • Typical normal working hours per week: Enter the standard full-time week (e.g., 40 hours). This part is optional but helpful for reporting.

Payroll and Compensation

You can save a lot of manual data entry by setting up these automations.

  • Automatically pay employee: If you enable this, the system defaults new hires to "Pay employee their normal working hours." Basically, it assumes they get paid for the standard hours you defined in step 2.

  • Calculate Stat Pay: Turn this on to let the system automatically calculate statutory holiday pay based on your regional labour laws.

  • Calculate OT Pay: When enabled, the system spots when an employee logs hours past their "normal working hours" and calculates the overtime pay automatically.

Onboarding and Directory Visibility

These settings help with privacy and keeping your data clean.

  • Show staff details in the mobile staff directory: Want your team to be able to call or email each other easily? Turn this on to make contact details visible to everyone in the mobile app directory.

  • Lock editable contract variables during workflows: This is a data integrity lifesaver. If enabled, once you approve details in the onboarding workflow, they auto-fill the contract and cannot be edited while drafting the final document. This prevents accidental changes to approved terms.

Best Practices

Before you hit save, keep these two things in mind:

  1. Check your local laws: Before turning on "Calculate Stat Pay" or "Calculate OT Pay," double-check that the system's logic aligns with your local labour standards.

  2. Respect privacy: Before enabling "Show staff details in the mobile staff directory," make sure it doesn't clash with your company's internal privacy policy.
