How to Configure Your Timesheet Settings

Available for the following Payroll plans: Unlimited

Our Timesheet feature allows your employees to easily submit their weekly hours and breaks for approval, from wherever they are. Once submitted, this information is sent directly to their manager to review and approve.

Before your team can use timesheets, you must first configure the Timesheet Settings. These settings allow you to customize and define the information employees must provide. 

This includes:

  • Defining your organization's standard work hours.
  • Setting up rounding rules for clock-in and clock-out times.
  • Configuring approval processes to determine who reviews and authorizes submissions.

How to Configure Your Timesheet Settings
  1. From your dashboard, navigate to the Settings menu.
  2. Go to the Time & Attendance section and select Timesheets
  3. Choose Your Timesheet Entry Method Select either "Start and end times based on daily entries" or "Daily hours based on daily entries."

    Note: If your organization uses award interpretation, you must select "Start and end times based on daily entries" for proper calculation.

  4. Overnight Timesheets: Use the toggle to enable this option if your employees work shifts that cross midnight.
  5. Automatic Approval: Use the toggle to enable automatic timesheet approval.

    Important: This will only auto-approve timesheets that exactly match the roster (including work type, location, date, start/end times, and breaks).

    Configure Rounding Rules

  6. Under the Round Timesheets heading, choose whether you'd like to round clock-in time, clock-out time, or break duration.

    For each option you enable, use the first dropdown to select the rounding rule (e.g., round up, to nearest) and the second dropdown to set the time increment.

  7. Save Your Changes Once you're happy with your setup, click the Save button to apply your new settings.

Understanding Timesheet Rounding Rules

Timesheet rounding lets you automatically adjust employee clock-in/out and break times according to your company's policy. These rules apply to all timesheets, whether they are created manually, by an admin, or via the WH work app.

The rounding rules you set will round the actual clock-in or clock-out time to a specified minute interval.

  • Do Not Round: Records the exact time without any changes.
  • Round Up: Rounds the time forward to the next interval.

    Example: With 15-minute rounding, a 9:07 AM clock-in becomes 9:15 AM.

  • Round Down: Rounds the time backward to the previous interval.

    Example: With 15-minute rounding, a 9:07 AM clock-in becomes 9:00 AM.

  • Round to Nearest: Rounds the time up or down to the closest interval.

    Example: With 15-minute rounding, 9:07 AM becomes 9:00 AM, but 9:08 AM becomes 9:15 AM.
