If you want to mandate time off requests being accompanied by supporting documentation, such as sick time off accompanied by a medical certificate, you can create a notes/documents required time off type.
This article explains how to:
Create a note-required time off type
- Log into your Employment Hero platform.
- Click the Settings menu.
- Under Payroll Settings, click the Time Off Settings submenu.
- Click the + Add Time Off Type button.
- Complete the following fields:
- Time Off Type Name.
- Time Off Balance Tracking
- Time Off Type Setup
- Unit Type
- Do you want to apply time off rounding rules?
- Require an end date on time off request submission.
- Return to work form (optional)
- Require comments or documents on time off request submission? - tick Notes Required.
- Tick Require notes or documents on time off request submission?
- Under Other Settings, select the following:
- Time off reason required
- Include in Bradford factor calculation
- Prevent negative time off balances
- Hide balances from pay stubs
- Hide accruals from pay stubs
- Click the Save button.
- To add a time off policy, complete the following fields:
- Time Off Policy Name.
- Accrual Details:
- Accrual Starts.
- Amount Accrued.
- Carry Over Amount.
- Carry Over Date.
- Pro Rata for Part Time/Casual Employees.
- Time Off Balances for New Employees.
- Click the Save button.

To assign the policy to certain employees, drag their name from the Available column to the Selected column.
Helpful Hint
You can click the >> button to move all employees to the Selected column.
- Click the Save button.
- When your employees now add a new time off request using the notes/documents required time off type, the notes/documents field will be mandatory to complete.
Create a documents-required time off type
- Log into your Employment Hero platform.
- Click the Settings menu.
- Under Payroll Settings, click the Time Off Settings submenu.
- Click the + Add Time Off Type button.
- Complete the following fields:
- Time Off Type Name.
- Time Off Balance Tracking
- Time Off Type Setup
- Unit Type

- Require comments or documents on time off request submission? - tick Documents Required.

Helpful Hint
You can select both Notes Required and Documents Required for the same leave time if you would like your employees to add a note regarding their time off request and also require a document to be uploaded to their time off request.
