In the Canadian Employment Operating System (EOS), maintaining accurate records of employee time off is critical for compliance with provincial labour standards. Managing accruals correctly ensures that your organization meets its legal obligations regarding vacation pay and statutory leave.
The Historical Balance Report allows you to audit time off accruals as they stood on a specific date in the past. This provides a "snapshot" of your organization's liabilities and helps reconcile balances for year-end accounting or provincial audits. You can filter this data by employee, time off type, or employment status (active vs. terminated).
Getting started
Follow these steps to view your current or past time off balances across your Canadian hubs.
- Log in to the Employment Hero platform.
- On the left-hand primary sidebar, click the Reports menu icon.
- Select the All tab at the top of the reporting dashboard.
- Scroll down to the Time Off section and select Historical Balance Report.
- The page will load, displaying the current time off balances for all active employees by default.
Helpful Hint
By default, the report shows balances "as of today." To view what balances looked like on a specific date in the past (e.g., the end of the last fiscal year), use the As At Date filter described in the next section.
To narrow down your results for specific provincial requirements or individual audits, use the high-detail filters available.
- Navigate to Reports All Historical Balance Report.
- Locate the Leave Adjustments Filters section at the top of the page.
- Apply your required filters:
- Personnel: Filter by one or multiple specific employees.
- As At Date: Use the calendar interface to select a specific past date. The report will recalculate balances as they existed on that day.
- Show Terminated Personnel: Check this box to include employees who have left the organization, which is essential for final vacation pay reconciliation.
- Leave Type: Select specific Canadian leave categories, such as Annual Vacation (or vacation pay), Personal/Sick Leave, or Birthday Leave.
- Important: For every filter you select, you must click the Apply button to refresh the data table.
For payroll reconciliation or to share data with your Canadian accounting team, you can export the report as a CSV file.
- Navigate to Reports All Historical Balance Report.
- (Optional) Apply your filters (e.g., As At Date: Dec 31, 2024).
- Click the Download (downward-facing arrow) button at the top right of the report table.
- The platform will generate an exported CSV file, which will appear in your browser's downloads folder. This file can be opened in Microsoft Excel or Google Sheets.
