Maintaining precise and transparent records of time off adjustments is essential for provincial labor standards compliance. Whether you are correcting a vacation pay accrual or manually adding a sick leave credit, having a clear audit trail prevents disputes and ensures accurate year-end reporting.
The Leave Balance Adjustments Report allows you to monitor every change made to an employee's time off balance. This includes both System adjustments (automated by workflows or terminations) and Manual adjustments (user-entered corrections). The report consolidates critical data such as the employee's name, the specific leave type (e.g., Annual Vacation), the date of change, and the recorded reason for the adjustment.
Getting started
Follow these high-detail steps to view the history of time off changes across your Canadian organization.
- Log in to the Employment Hero platform.
- On the left-hand primary sidebar, click the Reports menu icon.
- Select the All tab located at the top of the reporting dashboard.
- Scroll down to the Time Off section and select Leave Adjustments Report.
- The page will load, displaying a historical list of all balance adjustments for your personnel.
To narrow down your results for a specific audit—such as reviewing manual vacation pay edits—use the high-detail filter bar at the top of the report.
- Navigate to Reports All Leave Adjustments Report.
- Locate the Leave Adjustments Filters section.
- Apply your required filters:
- Personnel: Filter by one or more specific employees to review their individual history.
- Leave Type: Narrow the results to specific Canadian categories, such as Annual vacation (or vacation pay) or Sick Time Off.
- Show Terminated Personnel: Toggle this checkbox to include adjustments for former employees, which is critical for final pay audits.

Adjustment Type:
- Select System to see changes made automatically by the platform (e.g., during the offboarding workflow).
- Select Manual to see changes entered directly by an Admin or Manager.
- More: Use this dropdown to define a specific Date Range for the adjustments you wish to review.
- Important: After selecting any filter, you must click the Apply button to refresh the data table.
For reconciliation with your Canadian payroll provider or for internal compliance records, you can export the report.
- Navigate to Reports All Leave Adjustments Report.
- (Optional) Apply specific filters (e.g., Adjustment Type: Manual).
- Click the Download button (represented by a downward-facing arrow icon) at the top right of the report table.
- A CSV file will be generated and saved to your browser's downloads folder. You can open this file in Microsoft Excel or Google Sheets for further analysis.
