Adding job descriptions to the platform provides an efficient way for your Canadian personnel to access and understand their specific roles and responsibilities. By centralizing these documents, you ensure that expectations remain clear and consistent across your organization.
Note
While there are no pre-existing system templates specifically for job descriptions, you can easily create your own using the tools detailed below.
1. Creating a Job Description Template
You can choose between the Basic editor (best for uploading an existing PDF) or the Advanced editor (best for building a dynamic document from scratch).
- Navigate to the Library: Log in to your platform and click on the Compliance menu icon on the left-hand primary sidebar.
- Open the Submenu: From the expanded list, click the Template Library submenu.
- Initiate Creation: Locate and click the Add Templates button in the top right corner of the page. The Create New Template box will appear.
-
Define the Metadata: Complete the following fields:
- Template Name: Enter a clear title (e.g., "Marketing Manager Job Description").
- Signature Logic: Select No signatures. Job descriptions typically do not require formal signatures.
- Template Type: Select Factsheet (No signature) from the dropdown list.
- Template Editor: Choose Basic (to upload a PDF) or Advanced (to build from scratch).
- Countries (Optional): Select Canada from the list.
- Save and Edit: Click the Save button at the bottom of the form.
-
Customize Content:
- In Basic: Drag and drop variables over your PDF text to personalize it.
- In Advanced: Use the toolbar to insert text blocks, formatting, and organizational sections.
-
Finalize:
- In Basic: Click the purple Save button.
- In Advanced: Click the floppy disc icon in the top-left corner.
Tip: You can toggle the Auto save switch in the top-right corner to prevent losing your progress.
2. Providing the Document to Employees
Once saved, your job description is stored in your library. You can now issue it to specific employees just as you would any other HR document.
Follow this breadcrumb path to issue the saved document:
- Compliance > Template Library > [Your Template] > Actions > Issue.
Explore Related Content
- View an employee's assigned assets: See what tools (laptops, phones, etc.) are currently assigned to your team members via the asset register.
- Access company policies: A guide for employees on how to view and acknowledge the specific procedures assigned by your organization.
