Give payroll access via Permission settings

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following user access levels: Admin

You can use Permission settings to grant different levels of access to Pay Runs, Payroll Communications, and Payroll Reports. This ensures team members have the specific tools they need based on their role—for example, a manager might only need to view reports, while a payroll administrator needs to approve pay runs.

Regional Availability: Automated calculations for Statutory Holiday Pay and Overtime are currently supported for employees in British Columbia (BC), Ontario (ON), and Alberta (AB).

Permission settings for Pay runs

Follow these steps to give employees read-only or modify permissions for pay runs.

  1. Click the Settings menu.
  2. Under General Settings, click the Permission Settings submenu.
  3. Click the New Security Group button to create a new security group.
  4. Complete the relevant fields, including Group name, description and who you want to include in the group. For more information on setting up Security groups, see this article.
  5. Click the Other permissions tab.
  6. Scroll down to the Pay runs setting.
  7. You can give a group of employees the following permissions:
    • View: These employees can see the employee count, report pack and gross wages but cannot approve a pay run.
    • Modify: These employees can amend, prepare pay runs and approve pay runs.
  8. Tick the relevant check box, then click Create.
Permission settings for Payroll communications

Use this setting to control who can message employees regarding payroll queries. Note that in Canada, this is restricted to internal platform messaging.

  1. Click the Settings menu.
  2. Under General Settings, click the Permission Settings submenu.
  3. Click the New Security Group button to create a new security group.
  4. Complete the relevant fields, including Group name, description and who you want to include in the group. For more information on setting up Security groups, see this article.
  5. Click the Other permissions tab.
  6. Scroll down to the Payroll Communications setting.
  7. You can give a group of employees the following permissions:
    •  
      • View: These employees have read-only access to current and past messages.
      • Modify: These employees can view, send messages and start new message threads.
  8. Tick the relevant check box, then click Create.
Permission settings for Payroll reports

This permission allows users to access payroll data for auditing and accounting purposes.

  1. Click the Settings menu.
  2. Under General Settings, click the Permission Settings submenu.
  3. Click the New Security Group button to create a new security group.
  4. Complete the relevant fields, including Group name, description and who you want to include in the group. For more information on setting up Security groups, see this article.
  5. Click the Other permissions tab.
  6. Scroll down to the Payroll Reports setting.
  7. Giving Modify access will allow the group of employees the ability to generate and download payroll reports as XLSX files.
  8. Generate and download payroll reports (including payroll summaries and tax data).

  9. Export reports as XLSX files.

  10. Access data required for T4 and ROE generation.

  11. Tick the relevant check box, then click Create.

Banking: Employees currently cannot edit their own banking details via the mobile app; this must be managed by an administrator with Modify access on the desktop platform.
