How do I give full Payroll access to another person through custom security settings?
Answer
There are two ways to grant access for Payroll. You can add Payroll access to an existing custom security group or make a new group specific to Payroll.
Click the right tab below based on what you want to do:
Add Payroll access to an existing custom security group
- Click the Settings menu on the purple sidebar.
- Under General Settings, click Custom Security Settings.
- Click the existing custom security group you want to add Payroll access to.
- Click the Other Permissions tab.
- Scroll down the page to the payroll options.
- You have the option to give employees permission for the following payroll information:
- Pay runs: View gives access to pay run details (employee count, report pack, gross wages) without approval. Modify access allows amendments, preparing pay runs, revisions and approvals.
- Payroll communications: View gives read-only access to current and past messages. Modify access allows viewing, sending, and starting new message threads.

Payroll reports: Modify access includes generating and downloading reports as XLSX files.
- Click the Save button.
Create a new custom security group for Payroll access
- Click the Settings menu on the purple sidebar.
- Under General Settings, click Custom Security Settings.
- Click the New Security Group button.
- Complete the following fields:
- Group name.
- Description.
- Set permission for:
- You can click the checkbox for All employees, Or
- Type the name of each employee you need in the Select members search bar and click their name.
- Click the Other Permissions tab.
- Scroll down the page to the payroll options.
- You have the option to give employees permission for the following payroll information:
