Manage schedules

Available for the following HR plan:  Platinum

The Schedule Management feature lets you add, allocate, delete, publish, and unpublish shifts with the option to use templates, filter by cost centre or employee, and view schedule by day, week, or Bi-weekly.

Schedules are fully integrated with the Employment Hero Work (EH Work) app, allowing employees to view their shifts and receive email notifications whenever you publish a shift assigned to them.

Important

  • Employees and managers can use the Schedules Management feature if they have access via Permissions Security Settings.

Shift management

Available for the following HR plan: Free, Standard, Premium, Platinum
Available for the following user access levels: Manager, Admin    

Add a new shift
  1. Click the Time menu.
  2. Under Schedules, click the Scheduling Management submenu.
  3. Click the block for when you want to create a shift.
  4. In the Create a shift panel, enter the following:

    • From (date).
    • To (date).
    • From (time).
    • To (time).
    • Breaks.
    • Work site.
    • Position.
    • Certification
    • Employee.
    • Tag 
    • Notes

    Helpful Hint

    You can view weather forecasts for the next two weeks to help inform your schedule decisions. To learn how, see this article’s Further information section.

  5. Click the Save or the Save and Publish button.
  6. Refer to the shift you just published on the Scheduling Management page.
Publish a shift

Helpful Hint

You cannot edit or delete a shift once it has been published; you have to unpublish it first.

  1. Click the Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click the Schedule Actions dropdown button.
  4. Click the Publish Shift button.
  5. Click the checkbox for each shift you want to publish.
  6. Click the Publish Shifts button.
  7. Click the Submit button.
     

    Helpful Hint

    Published shifts will appear light blue in colour.

     

Save a Schedule as a template

Helpful Hint

You can save Schedules as templates based on the time-period view you are using. For example, if you are on a Weekly view, you can save the shifts for that week as a template. If you are on a Bi-weekly view, you can create a template based on the Schedule for that.

  1. Click the  Time menu.
  2. Under Schedules, click the Scheduling Management submenu.
  3. Go to the time period with the Schedule you want to save as a template.

    Helpful Hint

    For example, if you want to create a Schedule based on the shifts for the week of 15th to the 21st January, choose the weekly view and go to the week showing these dates. Both published and unpublished shifts in that period will be included in the template.

  4. Click the Schedule Actions dropdown button.
  5. Click Save Template button.
  6. Enter the Name and Description of the shift template.
  7. Click the Save button.

    Helpful Hint

    The Schedule has now been saved as a template. To use it, please refer to the Use a Schedule template tab, which is the next item in this section.

Use a Schedule template
  1. Click the  Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Go to the time period where you want to apply the Schedule template to.

    Helpful Hint

    For example, if you want to use a one-week Schedule template for the week of 22nd to the 28th January, choose the weekly view and go to the week showing these dates.

  4. Click the Schedule Actions dropdown button.
  5. Click the Load Templates button.
  6. Select the Schedule template you want to use.
  7. Click the Load Template button.
     

    Helpful Hint

    The Schedule template will now be applied to the time period you need, but you still need to publish the shifts to finalize them. You can still edit, delete, or unpublish the shifts as usual.

     

Filter shifts by location (cost centre)

Important

"Work sites" in Schedule Management refers to the employee's cost centre, not their work location. To learn more about setting up cost centres, please refer to this article: Manage your cost centres.

  1. Click the Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click the Work site dropdown.
  4. Choose the cost centre you want to view.

    Helpful Hint

    You will now see the shifts under the cost centre you chose.

Copy-and-paste shifts

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR classic plan: Platinum
Available for the following user access levels: Admin    

  1. Click the Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click on the copy icon on the shift you want to copy.
  4. Hover over the time and date to which you want to paste the shift.
  5. Click on Paste 1 shift.
     

Ways to view the Schedule

Available for the following HR plan: Free, Standard, Premium, Platinum
Available for the following user access levels: Manager, Admin    

See a quick view of employees' shifts by hours
  1. Click the Time menu.
  2. Under Schedule, click the Schedule Management submenu.

    Helpful Hint

    You can now see a quick view of the number of hours each employee is assigned. These numbers represent the shifts assigned to each employee for the time period view you are using. Time period refers to the weekly, daily, or Bi-weekly views on the Schedule Management page.

     

Change the Schedule view

You can change how the schedule is displayed by selecting a daily, weekly, Bi-weekly, four-week, or monthly view. This helps you track shifts and plan ahead.

  1. Click the Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Select by work site or by employee.
  4. Click the right-most drop-down field (highlighted below), then select the required timeframe:
    • Daily by location
    • Weekly
    • Bi-weekly
    • 4 weeks
    • Month
  5. The schedule will automatically appear in your selected view.
  6. Click the < and > buttons to navigate to the required day, week, or Bi-weekly.
     
View an employee's shifts
  1. Click the  Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click view Employee.
  4. Click the Search bar.
  5. Type the name of the employee you need.
  6. Click the name of the employee.
     

    Helpful Hint

    You can now see the employee's shifts for the time period view you are using. Time period refers to the weekly, daily, or Bi-weekly views on the Schedule Management page.

Editing data

Available for the following HR plan: Free, Standard, Premium, Platinum
Available for the following user access levels: Manager, Admin    

Edit a shift
  1. Click the Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click the button for the shift you want to edit.
     

    Helpful Hint

    You cannot edit a shift once it has been published; you have to unpublish it first. Refer to the Unpublish a shift tab in the Removing data section of this article to read more.

  4. In the Edit a shift panel, make the necessary changes.
  5. Click the Save or Save and Publish button.
     

Removing data

Available for the following HR plan: Free, Standard, Premium, Platinum
Available for the following user access levels: Manager, Admin    

Unpublish a shift

Helpful Hint

You cannot edit or delete a shift once it has been published; you have to unpublish it first.

  1. Click the Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click on the paper plane icon on the shift that you want to unpublish.
  4. Click the Unpublish button.
  5. You will see a popup saying Success! Unpublish scheduling effectively.
     

    Helpful Hint

    Unpublished shifts will appear grey in colour.

Delete a shift
  1. Click the Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click the Schedule Actions  dropdown button.
  4. Click the Delete Shifts button.
     
  5. Click the checkbox for each shift you want to delete.

    Helpful Hint

    You cannot delete a shift once it has been published; you have to unpublish it first. To unpublish the shift, refer to the Unpublish a Shift tab, which is the next item in this section.

  6. Click the Delete Shifts button.
  7. Click the Delete button.
     
Delete a Schedule template
  1. Click the  Time menu.
  2. Under Schedule, click the Scheduling Management submenu.
  3. Click the Schedule Actions dropdown button.
  4. Click Load Templates button.
  5. Click the  button for the Schedule template you want to delete.
  6. Click the Delete button.
     

Shift swapping

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR classic plan: Platinum
Available for the following user access levels: Admin    

Allow your employees to swap shifts
  1. Log into Employment Hero. 
  2. On the left-hand side menu, click on Time. 
  3. Click on Scheduling Management.
  4. Click on the Settings icon near the Budget and Actions buttons.
  5. Click on Shift Settings.
  6. Toggle on: Employees can swap shifts that have been assigned to them.
     
  7. Click Save.
Select a shift swap cut-off time
  1. Log into Employment Hero. 
  2. On the left-hand side menu, click on Time. 
  3. Click on Schedule Management..
  4. Click on Settings.
  5. Click on Shift Settings.
  6. Toggle on Enable shift swap cut-off time.
  7. Click Save.
Require managers to approve all shift swaps
  1. Log into Employment Hero. 
  2. On the left-hand side menu, click on Time. 
  3. Click on Schedule Management.
  4. Click on Settings.
  5. Click on Shift Settings.
  6. Toggle on Require managers to approve all shift swaps.
  7. Click Save.

Schedule Budget

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR classic plan: Platinum
Available for the following user access levels: Admin    

View the Schedule Budget
  1. Log in to your Employment Hero platform.
  2. On the left-hand side menu, click the Time option.
  3. Under the Schedule submenu, click on Scheduling Management.
  4. Click the Budget button.
  5. Click on the Overview tab.
  6. Select the work site and the week from the drop-down menus.
  7. Here you can view the Schedule budgets in both hours and wages views.
     
Create a daily hour budget
  1. Log in to your Employment Hero platform.
  2. On the left-hand side menu. Click the Time option.
  3. Under the Schedule submenu, click on Scheduling Management.
  4. Click the Budget button.
  5. Click on the Hour Budget tab.
  6. Select the following from the drop-down menus:
    • Work site
    • Week.
  7. Select the Daily budget period
  8. In the date field, input the daily hours for your budget.
  9. Once you have input your daily hours budget, click Save Budget. 
     
Create a daily wage budget
  1. Log into your Employment Hero platform.
  2. On the left-hand side menu, click the Time option.
  3. Under the Schedule submenu, click on Scheduling Management.
  4. Click the Schedule Budget button.
  5. Click on the Wage Budget tab.
  6. Select the following from the drop-down menus:
    • Work site.
    • Week.
  7. Select the Daily budget period.
  8. In the date field, input the daily hours for your budget.
  9. Once you have input your daily hours budget, click Save Budget. 
     
Create a weekly hour budget
  1. Log in to your Employment Hero platform.
  2. On the left-hand side menu. Click the Time option.
  3. Under the Schedule submenu, click on Scheduling Management.
  4. Click the Budget button.
  5. Click on the Hour Budget tab.
  6. Select the following from the drop-down menus:
    • Work site.
    • Week.
  7. Select Weekly for the budget period.
  8. In the weekly field, input the weekly hours for your budget.
  9. Once you have input your weekly hours into your budget, click Save Budget.
     
Create a weekly wage budget
  1. Log into your Employment Hero platform.
  2. On the left-hand side menu, click the Time option.
  3. Under the Schedule submenu, click on  Scheduling  Management.
  4. Click the Schedule Budget button.
  5. Click on the Wage Budget tab.
  6. Select the following from the drop-down menus:
    • Work site..
    • Week.
  7. Select Weekly for the budget period.
  8. Click Save Budget.
     

Set up shift roles

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR classic plan: Platinum
Available for the following user access levels: Admin    

Create a role
  1. Log in to your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click the Scheduling Management option under the Schedule header.
  4. Click the Schedule Actions drop-down.
  5. Select Tags 
  6. Type a name for the tag and select a corresponding colour to represent that tag.
  7. Click Add tag. 
     
Edit a role
  1. Log in to your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click the Scheduling Management option under the Schedule header.
  4. Click the Schedule Actions drop-down.
  5. Select Tags. 
  6. Click the Edit button. 
  7. Make the required changes and click the Save button. 
     
Delete a role
  1. Log in to your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Scheduling Management option under the Schedule header.
  4. Click the Schedule Actions drop-down.
  5. Select Tags 
  6. Click the Delete button. 
  7. Click Delete.

How to print a Scedule

  1. Log in to Employment Hero. 
  2. On the left-hand side menu, click on Time. 
  3. Click on Scheduling Management.
  4. Click on Actions.
  5. Click on Print. 
  6. Select the following details:
    • Date range
    • Report format
    • Work sites
    • Positions
    • Shift status
    • Employees
    • Show leave (toggle on or off)
    • Show unavailability (toggle on or off)
    • Show breaks (toggle on or off)
    • Show duration (toggle on or off)
    • Show costs (toggle on or off)
  7. Click on Preview.
  8. From the print preview, click on Print.
  9. Select your printer, then click Print. 
     
How will employees know if their shift has been published or unpublished?

Employees will receive an email notification every time they have a shift published or unpublished. The details are as follows:

Check shift weather forecast

To plan shifts that depend on the weather, go to Time in the main menu and select Scheduling Management.

The calendar will display weather icons for each work site across the next two weeks.

Hover over a weather icon to see the location, temperature range, and weather conditions for that day.
