Configuring your organization's employee file approvals process

Available for the following plans: Employment Plus, Employment Unlimited
Available for the following HR plan: Premium, Platinum
Available for the following User Access levels: Admin      

Important

The new Employee File Change Approval Workflow has replaced this legacy version of Employee File Approval Processes found under settings. To learn how to create an Employee File Change Approval Workflow, see this article.

The Employee File Approvals Set Up feature lets you configure your organization's process for approving changes to employee files on your HR platform. It allows you to designate approvers, edit the approval process as needed, and remove outdated entries. Before using these features, you must enable the open beta feature, Approvals, through the Beta Flask drop-down by selecting Opt-in. Keep in mind, this feature is still under development and may change. For more information on enabling this beta feature, please refer to the linked article.

Getting started

Add an employee file approval process
  1. Go to People in the left-hand menu
  2. Click the Employee File Approvals submenu.
  3. Click the Create new Approval Process button.
  4. Complete the following fields:
    • Approval process name.
    • Change Details:
      • Employment details.
      • Benefits, employment history and pay details.
    • Assign to team.
    • Approvers.
  5. Click the Save button. 
     

Editing data

Edit employee file approval process
  1. Click the Settings menu.
  2. Click the Onboarding Approvals submenu.
  3. Click the Actions button (Three dots).
  4. Click the Edit button.
  5. Make the required changes and click the Save button.
  6. Click the Continue button.
     

Removing data

Delete the employee file approval process
  1. Click the Settings menu.
  2. Click the Onboarding Approvals submenu.
  3. Click the Actions button (Three dots)..
  4. Click the Delete button.
     

Definitions

Definitions
Owner Owner of the business and they have the same access as admin.
Admin Administrator access to the whole platform and no restrictions.
Requesters Manager The primary manager of the employee requesting the employee requisition.
Head of the Employee's Team You can assign a team leader from within the Teams Settings feature. If you do not assign a leader, we will automatically approve the request.
Head of a Specific Team You can assign a team leader from within the Teams Settings feature. If you do not assign a leader, we will automatically approve the request.
Specific Person Specific person you would like to select from the employee list to approve the request.
