Add, edit, and manage documents using the basic template editor

In Canada, provincial compliance requires specific documentation across different regions. The Basic Template Editor lets you turn an existing PDF into a dynamic document by dragging and dropping "variables" (data placeholders) over the text.

How to Add a New Document Template

Make sure your PDF is finalized and ready on your computer before you begin.

Step-by-step: Create a basic template
  1. Navigate to the Library: On the left sidebar, click the Compliance menu icon.
  2. Open the Library: Click the Template Library submenu.
  3. Start Template: Click the Add Templates button in the top right corner.
  4. Fill out details: Complete the following fields:
    • Template Name: Enter a clear name (e.g., "BC Employment Agreement - Full Time").
    • Signature Logic: Choose who needs to sign (e.g., Sender then recipient).
    • Template Type: Select the category (e.g., Employment Contract).
    • Template Editor: Select the Basic radio button.
    • Countries: Select Canada.
  5. Upload and Save: Drag your PDF file into the upload box and click Save at the bottom.
  6. Place Your Variables: Your PDF will appear on the left, and a list of variables will be on the right.
    • Find the blank space on the PDF where the data should go.
    • Click, hold, and drag a variable (like [Employee Full Name]) onto the PDF.
    • Click the dropped variable box to slide it into exact position.
  7. Format Text: Use the right-hand formatting menu to change Font Size, Font Style, and Text Alignment to match your original document.
  8. Finish: Click Preview to check your work, then click Save to add it to your library.

Managing and Filtering Your Templates

Once you have several templates for different provinces, use filters and search to quickly find or update them.

Find and filter templates
  1. Go to Compliance > Template Library.
  2. Use the Filter Bar: Use the dropdown menus to narrow your list:
    • Country: Select Canada.
    • Editor Type: Select Basic (PDF).
    • Status: Choose Enabled or Disabled.
  3. Click Search to update the list.
Manage existing templates

Find your document in the list, click the Actions button, and choose one of these options:

  • Edit Info: Rename the document or adjust signature routing.
  • Edit Template: Rearrange or add placeholder variables on your PDF text layer.
  • Disable: Hide out-of-date or non-compliant documents from managers without deleting the audit history.
  • Delete: Permanently erase a template created by accident.

Important

You cannot clone a document inside the Basic Template Editor. To copy/clone layouts, you will need to use the advanced template editor.
