In Canada, provincial compliance requires specific documentation for different regions. The Basic Template Editor allows you to take an existing PDF and turn it into a dynamic document by dragging and dropping "Variables" (data placeholders) over the text.
How to Add a New Document Template
Because this method uses an existing PDF, ensure your document is ready before you begin.
- Navigate to the Library: On the left-hand primary sidebar, click on the Compliance menu icon.
- Open the Library: From the expanded list, click the Template Library submenu.
- Initiate Creation: Locate and click the Add Templates button in the top right corner of the page.
-
Define the Metadata: Complete the following fields in the form:
- Template Name: Enter a specific name (e.g., "BC Employment Agreement - Full Time").
- Signature Logic: Select who needs to sign (e.g., Sender then recipient).
- Template Type: Choose the category (e.g., Employment Contract).
- Template Editor: You must select the Basic radio button.
- Countries: Select Canada from the list.
- Upload and Save: Drag your PDF file into the upload box and click the Save button at the bottom.
-
Place Your Variables: You will now see your PDF on the left and a list of variables on the right.
- Identify a blank space: Find where the data should go on your PDF.
- Drag and Drop: Click and hold a variable (e.g., [Employee Full Name]) and drag it onto the PDF.
- Alignment: Click the variable once it is on the PDF to move it into the exact position.
- Format the Text: Use the formatting menu on the right to change the Font Size, Font Style, and Text Alignment to match your document.
- Finalize: Click Preview to check your work, then click Save to add it to your library.
Maintaining and Filtering Your Templates
Once you have multiple templates for different provinces, use the search and maintenance tools to manage them.
- Go to Compliance > Template Library.
-
Use the Filter Bar: Use the dropdown menus to narrow your search:
- Country Filter: Select Canada.
- Editor Type: Select Basic (PDF).
- Status: Toggle between Enabled and Disabled.
- Click Search to refresh the list.
Locate the document in the list and click the Actions button to select:
- Edit Info: Change the name or signature logic.
- Edit Template: Move or add variables on the PDF.
- Disable: Hide non-compliant documents from managers while keeping a record.
- Delete: Permanently remove a template created by mistake.
Important
When using the basic template editor, you will not be able to clone a document. You need to use the advanced template editor to clone a document.
