Asset disposal reporting

Whether your Canadian workforce is remote or based in a physical office, your organization likely assigns physical assets—such as laptops, monitors, or specialized equipment—to employees to facilitate their roles.

Tracking the lifecycle of these assets is a critical part of organizational accountability. Knowing who owned what, the duration of ownership, and the specific history of an item helps reduce loss, improve transparency, and simplify the calculation of depreciation for Canadian tax purposes where necessary.

The Disposal by Reason Reporting feature provides a strategic overview of why resources are leaving your organization. This data helps you analyze trends—such as high rates of accidental damage or predictable wear-and-tear cycles—allowing for better procurement planning.

Getting started

Creating a Disposal by Reason Report

Follow these steps to visualize your asset disposal data and drill down into specific categories.

  1. Log in to the Employment Hero platform.
  2. On the left-hand primary sidebar, click the Reports menu icon.
  3. Click the Other Reports tab located at the top of the reporting dashboard.
  4. Click the Asset Reports box.

    Helpful Hint

    You will now see an overview page displaying four distinct areas of asset reporting.

  5. Visualize Data: Locate the Disposal by Reason graph. To view specific assets that fall under a certain category (e.g., Damaged, Sold, or Lost), click directly on the relevant segment of the graph.

    This action will open a detailed list of disposed assets for that specific reason. You can click the Filter button to refine the results by date range or specific asset categories.

Managing and Exporting Asset Data

For deep-dive analysis in tools like Microsoft Excel or for year-end reporting, you can export your filtered disposal data.

  1. Navigate to Reports Other Reports Asset Reports.
  2. Click on the relevant section of the Disposal by Reason graph to isolate the data you need.
  3. (Optional) Click the Filter button to ensure your date ranges and categories are accurate before exporting.
  4. Click the Actions (downward-facing caret) button at the top right of the data table.
  5. Click the Export CSV button.
    • The file will be generated and saved to your browser's downloads folder for immediate use.
