Create a time off taken report

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following New HR plans: Standard, Premium, Platinum
Available for the following user access level: Admin

time off management refers to the processes designed by your business to handle requests for time off for staff time off, inclusive of vacation time, public holidays, sick time off, and parental time off. A successful employee time off management feature will provide a fair and accurate way to manage these requests. Making sure your organization takes care of both your employees' needs and your company's legal requirements.

The Time off Taken Reporting feature allows you to create a report that you can use to analyse time off requests within a specific date period, broken down by the time off type and status. You can also use this feature to download a CSV file of the data, enabling you to load the report into a CSV-supported program like Microsoft Excel.

Getting started

Create a time off-taken report
  1. Click the   Reports menu.
  2. Click the Time tab.
  3. Click the Time off Report submenu.

    Helpful Hint

    You will now see the overview page, which displays the Accrued and Time off-Taken graphs.

  4. Click on the bar on the Time off Taken report graph.
  5. Filter your search based on the following:
    • Show terminated personnel.
    • Personnel.
    • Date range.
    • Time off type. Examples: Sick time off, open-ended time off, entitlement based time off.
    • Status. Examples: Approved time off, pending time off.
  6. Click the Filter button.

Data management

View an employee's time off request
  1. Click the   Reports menu.
  2. Click the Time tab.
  3. Click the Time off Report submenu.

  4. Click on the bar on the Time off Taken report graph.
  5. Filter your search based on the following:
    • Show terminated personnel.
    • Personnel.
    • Date range.
    • Time off type. Examples: Sick time off, open-ended time off, entitlement based time off.
    • Status. Examples: Approved time off, pending time off.
  6. Click the Filter button.
  7. Click the View button.
Download a Time off taken summary report

Important

Downloading this document gives you an overview of the time off for all your employees over a calendar year.
  1. Click the   Reports menu.
  2. Click the Time tab.
  3. Click the Time off Report submenu.

    Helpful Hint

    You will now see the overview page, which displays the Accrued and Time off-Taken graphs.

  4. Click on the bar on the Time off Taken report graph.
  5. Filter your search based on the following:
    • Show terminated personnel.
    • Personnel.
    • Date range.
    • Time off type. Examples: Sick time off, open-ended time off, entitlement based time off.
    • Status. Examples: Approved time off, pending time off.
  6. Click the Download CSV button, then Time off taken summary.
  7. Select the calendar year of the summary you want, then click Download.
  8. Your CSV file will download automatically.
Download a Time off taken details report

Important

Downloading this document gives you detailed time off requests for employees over a selected period of time. You can use the filter to change the data you want to download
