The Review Period feature is the engine that drives your performance management cycles and probationary schedules. It allows you to automate review frequencies, set hard deadlines (lock-out dates), and send automated reminders to your team across different provincial hubs.
By centralizing these periods, Canadian Admins can monitor real-time progress and generate comprehensive compliance reports to ensure all performance evaluations align with organizational standards.
Prerequisites: Building Your Framework
Before you can launch a review period, you must create these three elements in order:
Rating Scale: The metrics used to measure performance (e.g., a 1–5 scale).
Review Question: The specific queries that form the criteria (e.g., "Has the employee met their Q3 KPIs?").
Review Template: The overall document framework that combines scales and questions.
1. Creating a Review Period
Setting up a review period involves defining the timeline and assigning the relevant Canadian employees.
Navigate to Settings: Click the Settings (cog) menu on the left-hand sidebar.
Access Review Hub: Under General Settings, select Review Settings and click the Review Periods tab.
Initiate New Period: Click Add New Review Period.

Define the Timeline: Enter a Title and choose your date logic:

Fixed Dates (On): Used for company-wide annual or quarterly reviews. Input specific Start, End, and Lock out dates.
Tip: Use the Lock out date to provide a grace period after the official deadline.
Relative Dates (Fixed Off): Ideal for rolling probationary periods. Input the length in Months and Days.

Select Your Blueprint: Use the Templates dropdown to select the pre-built Canadian performance template.
Configure Scoring: Toggle Overall Score or Weighted Questions based on your scoring requirements.

Assign Managers and Staff:
Managers: Toggle Primary manager, Secondary manager, or both.
Employees: Use Add all employees or the Search bar to select individuals, teams, or specific Canadian locations.

Finalize: Click Save.
Note: An automatic email notification is sent to employees immediately upon saving.
2. Daily Management and Reporting
Track participation and manage data as the review deadline approaches.
Send Reminders: Open the review period and click Remind All to nudge employees who haven't completed their drafts.
View and Print: Click on any active review period to see details. Use the Print button to generate a physical or PDF copy of the review status.
Download Reports: Click the Download CSV dropdown to export a Summary Report (high-level completion) or Full Report (detailed answers).
3. Handling Manager Changes
If an employee’s primary manager changes during an active review, the platform ensures historical data is preserved.
Update Profile: Go to the employee's Employment Details and update the Manager field.
System Impact: The new manager is automatically assigned to current and future reviews. Historical reviews (past end dates) will still show the previous manager.
Note Preservation: Any notes saved by the previous manager remain visible to the new manager and Admins in the Reviews tab of the employee's file.
4. Maintenance and Removal
Update: Open a review period and click Update to change dates or add additional users.
Archive: Click Actions > Archive to hide completed periods. To see them again, check the Show Archived Review Period box.
Delete: Use Actions > Delete only for periods created in error. You must confirm this action twice.
