How to create performance review templates

Available for the following plans: Standard, Premium, Platinum, Unlimited
Available for the following User Access levels: Manager, Admin

Creating a Review Template is a key step in building a structured performance framework. These templates act as a reusable blueprint for your evaluations, allowing you to standardize questions across different departments or provincial teams.

By using templates, you ensure consistency in how managers and employees interact during review cycles. You can build a new template from scratch or duplicate an existing one to save time and maintain alignment with your organizational goals.

Getting started

Create a new Performance Review Template
  1. Go to Performance > Performance Reviews.
  2. Click the Review Templates tab at the top of the page.
  3. Click the purple + Create review template button.
  4. Enter a Name for your template and an optional Description.
  5. Click + Add new question and select a category (e.g., Goals or Achievements).
  6. In the second dropdown, choose your response type:
    • Free text: Allows for written answers. You can edit the question text directly.
    • Scalar Rating: Allows for numeric or level-based scores. Enter names for each level and use the Add New or X buttons to adjust the scale size.
  7. Scroll to Settings to configure scoring:
    • Overall Rating: Adds a final summary rating at the end of the review (not included in the numeric score calculation).
    • Weighted Score: Allows you to assign a percentage weight to each rating scale question. The total must equal 100%.
  8. Click Publish template to save and activate it for use.
Maintenance and Data Management

Manage your existing templates using the Actions (three dots) menu:

  • Search: Use the search bar to find templates by name.
  • View Details: See the structure of a template currently in use.
  • Copy: Duplicate a template to quickly create similar reviews for different teams.
  • Edit: Change the name, description, or questions. Note: Editing is only available if the template is not currently active in a live review period.
Disabling and Deleting Templates
  • Unpublish: For templates used in past reviews, select Unpublish to hide them from future use while preserving historical data.
  • Publish: Reactivate an unpublished template to use it again.
  • Delete: Only available for templates never used in a live review period. Select Delete and confirm by clicking OK.
  • Remove Questions: To remove a question from a draft, click Edit and select the Delete (red cross) icon next to the question.
