Configuring performance review templates

Available for the following plans: Employment Plus, Employment Unlimited
Available for the following HR Plans: Premium, Platinum
Available for the following User Access levels: Manager, Admin

The third stage of establishing a robust performance framework for your Canadian organization involves creating a Review Template. These templates serve as the blueprint for your evaluations, integrating the Rating Scales and Review Questions established in previous steps.

Templates determine how managers and employees interact during a review period. You can build a new template from scratch or copy an existing one to maintain consistency across different Canadian provincial teams or departments.

Getting started

Creating a New Review Template

A template defines the overall structure and rating logic for your performance cycle.

  1. Navigate to the Settings (cog) menu on the left-hand primary sidebar.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click Add New Review Template.
  5. Complete the Template Header:
    • Name: Enter a clear title (e.g., "2025 Annual Performance Review - Quebec Hub").
    • Description: Provide context or instructions for reviewers.
    • Overall Rating Scale: Toggle this On if you want the system to calculate a final score. You can select an existing scale from the dropdown or create a new one immediately.
  6. Click Save.
Customizing Template Questions

Once the template shell is created, you must add the specific questions and determine how they are answered.

Add a Scalar Rating Question

Scalar questions allow managers to provide a specific numeric or level-based rating.

  1. In Review Templates, find your template and click Actions Edit.
  2. Click Add New Question.
  3. Use the Question dropdown to select a pre-configured question.
  4. In the Answer Type section, select Scalar Rating.
  5. Use the Rating Scale dropdown to choose the appropriate scale for this specific question.
  6. Click Save.

Add a Free Text Question

Free text questions allow for qualitative, descriptive feedback.

  1. In the Edit view of your template, click Add New Question.
  2. Select your question and choose Free Text as the Answer Type.
  3. Click Save.

Add a Weighted Question

Weighted questions are critical for Canadian organizations that prioritize specific KPIs (e.g., Sales Targets) over general competencies.

  1. Create or edit a template and ensure the Overall Scale Rating toggle is On.
  2. Toggle Weighted Questions to On.
  3. Click Add New Question and assign a Weight (%) to the question.
  4. Important: The total of all question weights in the template must equal exactly 100%.
Maintenance and Data Management

You can update your templates as long as they are not currently active in a live review period.

  • Search: Use the search bar in the Review Templates menu to find specific templates by name.
  • View Details: Click Actions View Details (eye icon) to see the structure of a template currently being used in a review period.
  • Copy: Click Actions Make a Copy to duplicate an existing template. This is a best practice when creating similar reviews for different Canadian provincial entities.
  • Edit: Click Actions Edit to change names, descriptions, or questions. Note: Editing is only available if the template has not yet been used in an active review period.
Disabling and Deleting Templates

Manage your library by removing or hiding outdated performance blueprints.

  • Disable: If a template was used in a past review period, click Actions Disable. This hides it from future use while preserving historical data.
  • Enable: Find a disabled template and click Actions Enable to reactivate it.
  • Delete: Click Actions Delete for templates never used in a live period. Confirm by clicking OK.
  • Delete Criteria: To remove a specific question from a draft template, click Edit, find the question, and click the Delete (red cross) icon.
