View time off requests as a manager, employee, and contractor

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR plans: Free, Standard, Premium, Platinum
Available for the following user access levels: Manager, Admin

With the View time off requests feature, managers, employees, and contractors can easily check the status of all time off requests – whether they are in the Pending, Approved, or Declined status.

The feature helps managers stay updated on team availability and provides employees with a quick, convenient way to track their own time off.

Important

You can only view a time off request if the payroll platform has processed it in a pay run and imported the pay stubs into Employment Hero.

To check the status of a time off request, go to Time in the main menu, select Time Off Management from the submenu, then hover your cursor over the relevant symbol. A small black box will then display the date, time, approver, and payroll sync status of the time-off request.

Manage time off as a manager

View the employee's time off request
  1. Click the Time menu.
  2. Click the Time Off Management submenu.
  3. Find the time off request you want to view.
  4. Click the Actions button.
  5. Click the View button.

  1. Click the Time menu.
  2. Click the Time Off Management submenu.
  3. Find the relevant time off request.
  4. Hover over the to see the time off balance details.
Review time off from the dashboard
  1. On the dashboard, refer to the Time Off Calendar widget.
  2. Click the relevant time off period. (If you hover your cursor over it, you will see a black box confirming the dates.)
  3. Approve or decline the time off request as required in the Time Off Request window.

  2. Under Time Off, click the Time Off submenu.
  3. Click the Filter button.
  4. Filter your search based on:
    • Date Range
    • Time Off Category
    • Status
  5. Click the Search button.
  6. Click the Actions drop-down button.
  7. Click the View button.
  8. Read the details of your time off request in the Time Off Request window.

  2. Under Time Off, click the Time Off submenu.
  3. Click the Filter button.
  4. Filter your search based on:
    • Date Range
    • Time Off Category
    • Status

  8. Read the details of your time off request in the Time Off Request window.

Frequently asked questions

Can I apply for time off if I do not have a positive time off balance?
You can still apply for future time off even if you have not accrued enough time off. The platform will accommodate the request as projected time off, but it does not consider pending time off requests in this calculation.
Why can I not see a time off type I am meant to have?
It is best to check this with your employer. Employers, depending on the payroll connection type, can hide certain time-off types. If you think this is a mistake, could you let your employer know?
Why is my Outlook calendar displaying the wrong time off dates?

There is an occasional issue where external calendar invites in Microsoft Outlook show the wrong date, meaning it is inconsistent with the time off submitted in your HR platform.

Click on and open the calendar invite, which often corrects the date display in Outlook.

This issue is due to how Outlook handles .ics calendar invites. As this is an Outlook-specific issue, we recommend contacting Outlook support directly if further assistance is required.
